Event Project Manager
The Oatly Department of Mind Control (ODMC) in Malmö is looking for a Project Manager to join our Event team in Malmö. The right candidate will bring experience of working with creative teams developing, planning, and managing events and brand activations from start to finish.
You will partner up with our Event Producers and work closely with our teams of creatives and specialists in the planning, production, and execution of our event programs for our 20+ markets in Europe. The role sits within the Event team (part of the ODMC), and requires a solid understanding of how brilliant brand activations and campaigns reach their audiences in the best way possible.
You will need to be based in Malmö in Sweden.
THE ROLE
As a Project Manager in the Event team, your responsibility is pretty clear-cut: you plan, produce and execute events in our markets. You also support our creative and commercial teams when it comes to strategic decisions and concept development for our events.
This is an operational role and it is your responsibility to make sure the event planning process runs smoothly, from initial creative brief to final boots on the ground execution. You are instrumental in bringing our creative ideas to life on time and on budget.
You will also be responsible for budgeting and cost estimations and make sure we deliver great work within budget limits.
On site, during the event, your responsibility is to make sure everything runs smoothly. You will be responsible for training and coordinating on-site staff, as well as making sure the team brings the right energy to keep the event vibe going and engage with consumers and participants in a way that reflects our core values.
The Project Manager is central in creating good working relationships, engaging with teams, colleagues and all stakeholders, both internally and externally, as well as with the organizers of music festivals, coffee festivals and other events that we partner up with. You need to be responsive and collaborative, upholding shared agreements, and able to communicate personably and positively.
You efficiently and proactively plan and direct work, your own as well as the team’s. At all times you feel responsible for the assignment/project and team, while able to create realistic processes and ensure final delivery on budget and on time.
WHO YOU ARE
- You have at least 3 years of well-documented experience from an event planning role within the event industry, a communication agency or client-side.
- You are a hands-on problem solver with a positive attitude.
- A large part of our events are taking place on our different European markets so you need to be well travelled and comfortable with handling new situations. You are required to travel approximate 40 days a year and our events often happen on weekends.
- As a part of the Events team you are an important brand ambassador, you will have a consumer facing role during our events and need great social skills.
- You will work in cross functional teams and across different markets so great communication skills and a proactivity are highly valued.
- You know how advertising and other communication fields and are familiar with concepts, methods, and terms. You know how to handle the end-to-end planning of events and other creative work, including budgets.
- You are a proactive self-starter, able to independently plan, initiate and execute tasks and projects. You work well under pressure, delivering day-to-day tasks, as well as finding solutions for the idea and the team.
- The ODMC is a collaborative environment with transparency and self-leadership at its core, so understanding priorities and consequences is key. You are a great team player, approachable and flexible, able to both ask for help and supporting others, fostering strong working relationships, and providing clear details of planning and implementation to others when relevant.
- You have full professional proficiency in English as well as Swedish.
- You are used to working with tight deadlines and have a flexible mindset.
